For a first-time exporter, the handover can feel like several conversations happening at once. A short preparation routine helps the exporter, customs broker and freight coordinator work from the same information.
Agree the final shipment details before several parties begin working from different drafts.
Separate the commercial and customs records
Your commercial invoice describes the sale. The packing list explains how the goods are packed. A shipping bill is a customs declaration for exports by vessel or aircraft under section 50 of the Customs Act; it is not the same thing as an invoice.
Keep the purpose of each record clear when asking your team what is ready and what still needs preparation.
Build a practical handover sheet
- Exporter and overseas buyer contact details.
- Goods description, quantity, package count and weights.
- Pickup location, destination and proposed ready date.
- Available commercial invoice and packing details.
- Any buyer-specific documentation instructions.
This is a coordination checklist. Your broker will need to confirm the regulatory records that apply to the goods and transaction.
Check names and versions before circulation
When the supplier, buyer and coordinator each hold a different draft, avoid sending a new file with the same name. Use a revision date and a clear note describing the change. Ask one person in your business to approve the final commercial details.
Cross-check package count and weights against the packing operation. If an estimate changes after packing, communicate the change to everyone working from the earlier figures.
Discuss the schedule realistically
Share the expected cargo-ready date and ask which documentation and transport milestones need to happen before movement. Do not assume that booking freight completes the customs preparation.
For Chennai shipments, give the team the planned pickup point and port or airport so they can discuss the relevant coordination steps.
