“How much will clearance cost?” is a reasonable first question. A useful quotation discussion needs a little more context about the goods, movement and services you want coordinated.
A clear scope and honest pending-items list make the first quotation conversation more useful.
Start with the movement
Say whether this is an import or export, the transport mode, the origin and destination, and the planned port or airport. Include the ready date or expected arrival date if known.
For a container shipment, provide the container size or the package dimensions and weight. Explain whether you need transport from a factory or delivery to an inland destination.
Describe the goods clearly
Use the actual product name, material and intended use rather than a broad label such as “goods” or “parts.” Share available commercial invoice and packing details so the team can understand the enquiry.
If something is unknown, mark it as pending. An explicit information gap is more useful than an incorrect assumption that later becomes part of a quotation.
Ask what is included
- Which customs coordination services are covered?
- Are port, CFS, carrier or transport charges separate?
- Which items are estimates or payable to other parties?
- What information could change the estimate?
- What documents are still needed before proceeding?
Ask for the scope in writing. Compare quotations that cover the same locations and activities, rather than comparing only their final numbers.
